The documents of the employee lifecycle

From onboarding to offboarding: what HR teams sign the most.

Employment contracts

Signed before day one: the candidate receives it on their phone and shows up with the paperwork done.

Onboarding kits

Contract, terms, policies and intake form in a single envelope: one signing round clears the whole onboarding stack.

Intake forms with data collection

Address, dependents, bank details: the employee fills in the fields during signing, and HR gets it all structured, no retyping.

Remote-work agreements

Remote and hybrid arrangements formalized in writing, without chasing signatures around the office.

Internal policies and confidentiality

Code of conduct, data policy, equipment use: every acknowledgment recorded per employee.

Role and salary amendments

Promotion, transfer, schedule change: the amendment formalizes it with a date and a signature.

Notices and acknowledgments

Formal communications with recorded awareness: who received it, when and how, in the audit trail.

Offboarding documents

Terms, equipment returns and releases signed in the offboarding flow, even remotely.

A full onboarding with zero paper

The typical onboarding flow inside Signater, in four steps.

  1. The onboarding kit starts from a template

Contract, terms and policies become a single envelope, generated from a template with the role's details.

  2. The candidate fills in their own data

During signing, they enter address, dependents and bank details in the fields HR configured. That's signer data collection doing the busywork.

  3. Everything signed on a phone before day one

No printing, no scanning IDs: the candidate validates their identity and signs the whole kit at once, wherever they are.

  4. HR gets documents and data ready to use

Signed kit in the employee's vault and structured data ready for the system, no retyping and no lost paperwork.

The new hire is who they say they are

Identity factors configured per signer. Every recorded validation enters the envelope's certificate of completion as evidence.

Email code

A 6-digit code lands in the employee's email and is required at signing time.

SMS code

The confirmation code arrives by text message on the employee's phone, ready to validate in seconds.

Selfie with liveness check

During onboarding and offboarding, the employee confirms their identity with a selfie and liveness check before signing.

The eight available factors, from selfie with liveness detection to certificate-based signing, are on the Identity validation page

The features that keep this flow moving

Each card opens the feature's full page, with how it works in detail.

Built to integrate

An approved hire in your ATS triggers the kit through the API; the signed kit and collected data come back by webhook, straight into your system.

Frequently asked questions

Is an electronically signed employment contract legally valid?

Yes. Electronic signature laws such as the U.S. ESIGN Act and UETA make electronic signatures legally binding, and the EU's eIDAS regulation recognizes them across Europe. Signater produces an advanced electronic signature based on a digital certificate, in the PAdES standard, and each signer's identity validations are recorded in the envelope's certificate of completion.

How does data collection during signing work?

HR configures the fields on the envelope: text, email, phone, tax ID (CPF), address and other types. The employee fills them in at signing time, the data is linked to the envelope and comes out structured, ready for the system. The feature is available from the Business plan up.

Can I send the whole onboarding kit at once?

Yes. An envelope gathers several documents and several signers in a single flow: you send once and the employee signs everything together. Limits follow the plan: up to 20 documents per envelope on Starter, up to 50 on Business and no limit on Enterprise.

What changes for offboarding?

Nothing about the flow changes: termination terms, equipment returns and releases stay in the same envelope, with automatic reminders for whoever hasn't signed yet and a complete audit trail. Especially useful when offboarding happens remotely.

Can we hire within payroll-filing deadlines?

The last-minute bottleneck disappears: the kit goes out by link and the candidate signs the same day, before their first day on the job. Submitting the hire to your payroll system stays where it is; Signater just makes sure the signed contract isn't what holds things up.

Is the data employees fill in protected?

It stays tied to the envelope, accessible only to whoever has permission on the vault, with a record of who accessed what. Encryption and controls are detailed on the Security page.

Does the candidate need to create an account or install an app?

No. They receive the invitation by email or SMS, open the document in the browser and sign after validating their identity with the factors you configured. No app, no sign-up and no digital certificate required.
